Your privacy matters to us. This policy describes what information Better Call Salon collects, why we collect it, and the choices you have. It covers both salon accounts and the clients who book through them.

This Privacy Policy explains how Better Call Salon ("we", "us", or "our") collects, uses, and shares personal information when you use our booking and no-show protection service (the "Service"). It applies both to salon owners and staff who hold an account with us and to the clients who book appointments through a salon's booking link.

2. Information we collect

We collect the following categories of information:

  • Account information — name, email address, business name, and login credentials for salon accounts.
  • Booking information — appointment details, the services requested, and contact details provided by clients when they book.
  • Payment information — payment card details used to secure bookings are collected and stored by our payment provider; we receive limited information such as the card brand and last four digits, not full card numbers.
  • Usage and device information — log data, IP address, browser type, and how you interact with the Service.

3. How we use information

We use personal information to:

  • provide, operate, and maintain the booking and no-show protection features;
  • process subscriptions and, on behalf of salons, no-show or late-cancellation fees;
  • send transactional messages such as booking confirmations and reminders;
  • provide support, prevent fraud, and keep the Service secure;
  • improve the Service and develop new features;
  • comply with our legal obligations.

4. Payment processing

Payments and held cards are handled by a third-party payment processor. Your card details are transmitted directly to that processor under its own terms and privacy policy. Better Call Salon does not store full payment card numbers on its servers.

5. Roles: salons and clients

When a salon uses the Service to manage bookings, the salon determines how its clients' information is used and is responsible for its own privacy practices and disclosures. Better Call Salon processes that information on the salon's behalf to provide the Service, and also uses certain information for its own purposes such as operating and securing the platform.

6. How we share information

We share personal information only as needed and as described here:

  • Service providers — payment processors, hosting, email, and analytics providers who process data on our behalf under appropriate safeguards.
  • Salons — booking and client details are shared with the salon a client books with.
  • Legal and safety — where required by law or to protect rights, safety, and the integrity of the Service.
  • Business transfers — in connection with a merger, acquisition, or sale of assets.

We do not sell personal information.

7. Data retention

We keep personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we delete or anonymise it.

8. Security

We use technical and organisational measures designed to protect personal information against loss, misuse, and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your rights

10. International transfers

We may process and store information in countries other than the one in which you live. Where we transfer personal information across borders, we take steps to ensure it remains protected in accordance with this Privacy Policy and applicable law.

11. Children's privacy

The Service is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
